Compress and E-mail Field Data

Compress your job site data, job site design data, and work orders to archive or e-mail them to colleagues or field crews. Files are compressed in a .zip folder.

Prerequisites:

To compress and e-mail field data:

  1. Select a job site, design, or work order in the Project Explorer, and do one of the following:
    • Right-click and select Compress/E-mail Field Data from the context menu.
    • Select Compress/E-mail Field Data in Construction Data > Publish Data.

    The Compress /E-mail Field Data dialog displays.

  2. Select a controller in the Controller box. The files assigned to that controller for the selected site, design, or work order appear.

    Note: If you select a data card for a GCS machine, you cannot select files individually, but you can select entire sets of files for job sites or designs. The recipient of the e-mail can extract the compressed file directly into the root folder of a compact flash data card.

  3. Type a path and name for the output file in the Compressed File Name box. To browse for a file path, click the Browse button.
  4. Check the box for each file to include in the compressed folder in the Files to compress list. If you check a parent file, all of its children files are also selected.
  5. To filter the list to include only files that have been created or changed since you last synchronized the selected controller, check the Only show files modified since last synchronization box.

    Note: This box is disabled if the selected controller is not supported by Office Synchronizer, e.g. GCS machines).

  6. To send the compressed folder to an e-mail address, check the E-mail file box.
  7. Type an e-mail address to send the file to in the E-mail address box, if applicable. This box may be pre-populated if the controller record specifies an e-mail address.
  8. Click OK. The selected files are saved in the compressed folder and emailed as specified.
