To add an existing license

If a customer wants to make changes to their license but the Key ID for their license does not exist in the Virtual Warehouse, you can add the Key ID manually.

Refer to the following steps:

  1. Under Perpetual Licenses, select the Assign/Upgrade tab.
  2. To make sure the Key ID does not already exist in the Virtual Warehouse, click next to the Serial Number field at the top of the Hardware Variants panel and enter the serial number/Key ID. There should be no matching Key ID tiles shown.

  3. To add an existing Key ID to the Virtual Warehouse:
    1. Click Add Device near the top of the Hardware Variants panel.
    2. Select Existing TBC/RealWorks Licence.
    3. Enter the Key ID.

      If the serial number includes a prefix for the dongle serial number (such as TBC‑SA‑, TBC‑SC‑ or TBC‑TB‑), omit the prefix when you enter the serial number.

    4. Click Get Date.

      The Virtual Warehouse populates the expiry date field, if it is known.

    5. If no expiry date can be obtained, the Virtual Warehouse prompts you to enter a date. Trimble recommends you request a screenshot of the current expiry date from the customer's license.
    6. If required enter a comment/reference information.
    7. Click OK.

      The Key ID tile you just added is selected in the Hardware Variants panel. The Configuration panel shows the items currently assigned to the Key ID.

  4. To set the customer for the Key ID:

    1. Click the <Click here to set customer> link near the top of the Configuration panel.
    2. Enter the details for the person in the customer organization who is the contact person for the device. Alternatively, select the Existing customer option and select the customer from the list or enter their email address. Click Assign.

  5. To change the items assigned to the Key ID:
    1. To upgrade the software edition, click Add Edition Software. Software editions that can be upgraded to from the current edition are shown. Select the edition to upgrade to and click Assign. If required, repeat this step to upgrade to the required edition.
    2. To assign additional software modules, click Assign Modules in the item's tile in the Configuration panel. Select the module(s) and the appropriate sales order/purchase order number and click Assign. Review your changes and click OK.
    3. To extend the software maintenance, click Assign Trimble Protection Plans in the item's tile. Select the Expiry Date and the Protection Plan(s) to apply and click Assign. Review your changes and click OK.

    4. To add more software seats, click Add More Seats. Select the number of seats and click Assign. In the confirmation message, click OK.

      Additional seats have a different part number to the initial seat that is assigned when you select the software edition.

    To use stock from multiple sales or purchase orders starting with the oldest order, select the Assign from total stock (using oldest first) check box when selecting items.

  6. To generate the 19-digit product key that the customer will use to activate the software, click Send Product Key To Customer near the bottom of the Configuration panel.

    The Send Product Key To Customer button is not available if you have not yet set the customer for the Key ID.

    A message explains that you cannot generate further product keys until the product key has been consumed. Once consumed, it may take up to 15 minutes for the Virtual Warehouse to recognize that the product key has been consumed.

  7. Click OK to generate the product key and email it to the customer using the customer email address stored in the Virtual Warehouse.

    The email is also BCC'ed to your email address. If the customer encounters any email delivery issues, you can forward your copy of the email to the customer.

    The generated code is displayed in the Product Key field in the Key ID tile in the Hardware Variants panel with the same status as the Product Key. A new code cannot be generated until the current code status is Activated.

    To cancel a product key that has been generated, contact:

    If required, to filter for that code in the Virtual Warehouse, select Product Key from the drop-down filter list near the top of the Hardware Variants panel and enter the product key.
